Features of using this Notion Income Tracker

This minimalistic Notion Income Tracker has the following 4 segments in the dashboard:

Total Earnings 

This reflects the Total Earnings earned over a period of time.

Sources

This reflects the sources of earning, i.e. Salary, Side Hustle or Other income which indicates the following:

1. Actual Income
2. The proportion of each source of income to the total income.

Frequency

This shows the frequency with which one can earn an income during a year, such as Monthly, Annually, Quarterly, Half Yearly or One Time income.

It indicates the following information for each type of frequency of income:

1. Total Earnings for each source of income.
2. No of sources through which one earns an income.

Overview

This shows a complete overview of all the earnings which is shown month wise divided into 4 quarters as shown above.

It shows the following information related to earnings for each month:

1. Total earnings for the month.
2. The proportion of the earnings for the month in comparison to the total earnings.

How to create a minimalistic Notion Income Tracker?

We need to fill in the Income Details onto a database to help us create a minimalistic Notion Income Tracker.

For this, first, we need to create a page to store the necessary information related to Income Details as shown below.

Alongside this, we need to create the following databases to help us create this minimalistic Notion Income Tracker:

Database	Purpose
Income Details	Stores the details related to Income
Income Source	Helps us analyze income details with reference to different sources of income such as Salary, Side Hustle and Others
Frequency of Income	Helps us analyze income details with reference to various frequencies of income such as Monthly, Annually, Quarterly, Half Yearly and One Time.
Total Earnings	Helps us analyze income details related to Total Earnings
Period	Helps us analyze income details related to each month during a period such as Jan 2023, Feb 2023, Mar 2023 etc

Now let’s start building the above databases one by one.

Building the Income Details Database 

In order to create the above database, we need to first create a page by the name of Income Details on the primary dashboard.

Create a sub-page inside your working dashboard to create a page that would be available inside the primary dashboard.

Then we would be required to create a database (inline database) to give us the working space to enter the details related to Income earned.

In order to create a new database, simply type “/database” and then select “Database-Inline” to create a database for storing the income details.

Rename the database as “Income Details”. 

Now it’s time to add the properties to the database.

Here’s a quick overview of all the properties to be used in the Income Details database in the Notion Income Tracker:

Income Details	Title	Stores description about the income earned such as Salary income for Jan 2023
Period of Income	Relation	Create a relation to the Period database reflecting the month of income earned such as Jan 2023
Income Source	Relation	Create a relation to the Income Source database reflecting the source of income earned such as Salary
Frequency of Income	Relation	Create a relation to the Frequency of Income database reflecting how frequently you earn an income such as Monthly, One Time etc
Amount (in $)	Number	Enter the details related to actual income earned during a period
Estimated Income	Number	Enter the details related to budgeted income earned during a period

Why do we need to create the Income Details database?

This will help us to establish relations with other databases to present the information correctly in the primary dashboard.

How to add properties to the Income Details database in Notion?

Once you have created an Inline Database, you can click on “+” at the top right of a new database to add new properties as shown below.

Now, let’s add the properties one by one:

1. Income Details

This is a default property that is created while creating a database.

This has a Title-Type property which is used to record the entire details related to income earned such as Salary Income, Side Hustle Income etc.

2. Period of Income

This has a Relation property and is used to record the month for which an Income is earned, such as Jan 2023, Feb 2023 etc.

This is related to the Period database and is shown both ways as evident from the option Show on Period, which is turned on.

3. Income Sources

This is created to keep a track of the different sources of income in another database. 

We have created 3 different sources over here, i.e. Salary, Side Hustle and Others.

This is related to another database which is Income Source and over here it is also shown both ways (i.e. Show on Income Source is turned on). 

4. Frequency of Income

This property depicts how frequently you can earn an income, such as Monthly, One Time, Half Yearly etc.

This is again a Related property that is connected to another database, i.e. Frequency of Income. 

Note: Here the relation is established and shown both ways on both the databases (as Show on Frequency of Income is turned on).

5. Amount (in $)

Now we have another property, i.e. Amount (in $). This is a Number property and here we would enter the details related to the Income earned.

Here, we have represented the Number format in US Dollar for easy representation purpose while the Type is selected as Number.

Now we have created the Income Details database, let’s move on to the next database.

Building the Income Source Database

This database helps to record the various sources of earnings and their respective earnings.

Why do we need to create the Income Source database?

We would need the Income Source database, in order to create the sources section where we would represent each source alongside earnings and its contribution to the total earnings.

How to add properties to the Income Source database in Notion Income Tracker?

Let’s understand each property to create in the Income Source database in the Notion Income Tracker database:

1. Name

This is a default property that is created while creating the database.

This has a Title-Type property which is used to record the source of income earned i.e. Salary Income, Side Hustle Income, etc.

2. Actual Income ( in $)

This is a roll-up property which is a rolled-up value deriving the total income earned for each source of income.

This is rolled up from another database, i.e. Income Details database. From here, we will derive the Amount (in $) of the property we discussed earlier.

Note: we are using the Sum in the Calculate section to find the total value of the actual income over here.

3. Earnings (in %)

This is a Formula property that helps to calculate the proportion of each source of earnings to the total earnings.

Here’s the formula we will use for the above purpose:

round(prop(“Earnings”) / toNumber(prop(“Rollup”)) * 100) / 100

In here, we are using the Percent in the Number Format to calculate the percentage of the income of each source to total earnings.

We are representing this in Green Bar as shown below.

4. Frequency 

Finally, we calculate the Frequency of each source of income.

This is a Rollup property that is related to another database, i.e. Frequency of Income database.

This pulls the Original Values of each type of Frequency of Income from the Income Details database.

5. Earnings Database

This is a related property that establishes a relationship with the Total Earnings database. 

This is a one-way relationship that is only created in the Income Source database and is thus not shown in the Total Earnings database.

6. Total Earnings

This is a rollup property that helps us find the Total Earnings earned from all sources of income.

This is related to another database, i.e. Total Earnings through the property of the Earnings Database.

Now we need to link the Amount property from the Total Earnings database and calculate the original value in the database.

Building the Frequency of Income database

Now we need to set up a database that will help store the information related to the different frequencies of income and give further analysis.

Why do we need to create the Frequency of Income database?

We will need this database to calculate the income belonging to different types of frequencies of income as shown above.

How to add properties to the Frequency of Income database in Notion Income Tracker?

Let’s understand each property to create in the Frequency of Income database in the Notion Income Tracker database:

1. Frequency

This is a default property that is created while creating the database.

This has a Title-Type property which is used to record the frequency of income earned i.e. Monthly, One Time, Half Yearly etc.

2. Earnings (in $)

This is a Roll-up property that helps to derive the actual earnings value from another database through the use of Relation.

We have rolled up the value from another database, i.e. Income Details database pulling it from the Relation property.

Note: We will use Sum in the calculate section to find the sum of all the values belonging to the property as discussed above.

3. Relation

This helps to set up a relationship with Income Details database to help us with roll-up properties as discussed earlier.

Note: Again this is set up both ways and thus the property is created once we complete the Income Details database.

4. Sources of Income

This is the last property that depicts the number of sources of income for each type of frequency of income.

This has a Formula property to do the same.

Here’s the formula we will use for the above purpose:

if(prop(“Count of Unique Sources”) == 1, format(prop(“Count of Unique Sources”)) + ” Source”, if(prop(“Count of Unique Sources”) == 0, “No Source”, format(prop(“Count of Unique Sources”)) + ” Sources”))

This formula essentially counts the following:

1. If Unique Sources is 3, then the total sources counted is 3 sources.
2. If Unique Sources is 2, then the total sources counted is 2 sources.
3. If Unique Sources is 1, then the total sources counted is 1 source.
4. If Unique Sources is 0, then the total sources counted is No Source.

Building the Total Earnings database

This database will help to keep a track of the Total earnings for the purpose of assessment of the total earnings during the period.

Why do we need to create the Total Earnings database?

We need to create the Total Earnings database to create this Total Earnings section in the primary dashboard.

How to add properties to the Total Earnings database in Notion Income Tracker?

Let’s understand each property to create in the Total Earnings database in the Notion Income Tracker database:

1. Name

This is a default property that is created while creating the database.

This has a Title-Type property where we can type out Total Earnings to create further comparisons.

2. Income Sources

This is a property that is related to another database, i.e. Income Source. 

Once the relationship is established we can specify the 3 sources of income for further analysis i.e. Salary, Side Hustle and Others.

3. Total Earnings

Finally, we will use the Roll-up property to calculate the total earnings from the related database, i.e. Income Source as described earlier.

In here, we are referring to the property of Earnings and are using the Sum property in the Calculate section to find the sum of the total earnings as explained above. 

Now, let’s move to the next database, i.e. Period database.

Building the Period database

This database helps to capture all the income details in relation to specific periods for each source of Income.

Why do we need to create the Period database?

The Period database helps us to calculate the Overview section as shown above.

How to add properties to the Period database in Notion Income Tracker?

Let’s understand each property to create in the Period database in the Notion Income Tracker database:

1. Month

This is a default property that is created while creating the database.

This has a Title-Type property where we can create the month of earnings such as Jan 2023, Feb 2023 etc. 

2. Income Details

This is a related property that was created earlier and is related to the Income Details database as we discussed earlier.

This is related both ways and is thus the Show on Income Details feature is turned on.

3. Earnings (in $)

This is a Rollup property created which rolls up the information related to the earnings over a period of time from another database, i.e. Income Details.

We are linking here the “Amount (in $)” from the related database and calculating the Sum over here to find the sum total of the values concerned.

4. Total Earnings (in $)

This shows the Total Earnings earned which is again rolled up from another database, i.e. “Total Earnings”. 

Again we have selected here Show Original in the calculate section to find the original values associated with this related property.

5. Monthly Earnings (in %)

This is the last property that calculates the Monthly Earnings for each month of Income.

This is a Formula property that is specified as Percent to calculate the percentage of the desired outcome.

Here, we have specified the following formula for our use:

round(prop(“Earnings (in $)”) / toNumber(prop(“Total Earnings (in $)”)) * 100) / 100

This also has a Green bar selected to showcase the percentage in a bar format.

Now, we have completed creating all the required databases for this minimalistic Notion Income Tracker.

Its time to create the primary dashboard.

Building the Primary Dashboard of Notion Income Tracker

The primary dashboard of Notion Income Tracker consists of 4 sections, i.e. Total Earnings, Sources, Frequency, and Overview.

Here’s how we are going to build each part one by one.

1. Total Earnings

This is a database that needs to be linked to another database.

We need to create a linked database to the Total Earnings database which will help us give the total earnings for the Notion Income Tracker.

We need to select the layout to List view to showcase the Total Earnings in a listicle format.

2. Sources

The Sources part in the primary dashboard can be presented in a 3 columnar format.

Simply type “/3columns” to create a 3-column view.

Once a 3-columnar view is available, select the layout to be Gallery mode of view.

Then we need to enable the Actual Income and the proportion of actual income to the total income to get the desired presentation.

This will enable the presentation to be in Gallery mode as shown earlier.

In each of the views, show each individual source of income such as Salary, Side Hustle, and Others.

3. Frequency

For the Frequency part in the dashboard, we need to link the database to the Frequency of Income database and put the layout in the Gallery mode of view as well.

Then we need to enable the actual earnings and the sources of income for each section to get the desired view.

4. Overview

Finally, we have the overview section which gives an overall view of each month for each quarter in the complete year.

For each month, we will present the Total Earnings and the proportion of the earnings to the total earnings (represented in percentage in green bar).

The layout to be selected would be Gallery mode of view.
